Introduction

Data protection, something we don’t take lightly at Maplix. That’s why we want to inform you about our Privacy Policy in the most honest, intelligible and transparent way. We’ve got you covered.

All of the information in this Privacy Policy explains the data protection policies of Maplix, hereafter referred to as ‘Service’. If you choose to use our Service, you agree to the collection, storage and usage of Personal Information in relation with this Privacy Policy. The Personal Information that we collect from you as a customer are used for providing and improving our Service in the best possible way. We will never use or share your Personal Information with anyone without your consent or for any other purposes than stated in this Privacy Policy.

Accepting this Privacy Policy is required before using our Service. On purchase, you will be asked to read and accept the privacy statements below. At all times, you are allowed to withdraw your consent by contacting the Maplix Data Controller.

Glossary

Let’s start with some definitions to make sure that we fully understand each other.

Following the General Data Protection Regulation (GDPR) issued by the European Union, the terms below are used and applied in the same way in our Privacy Policy.

Personal Information

“Any information relating to an identified or identifiable natural person (‘data subject’)”.

Data Subject

“An identifiable natural person is one who can be identified, directly or indirectly, in particular by reference to an identifier such as a name, an identification number, location data, an online identifier or to one or more factors specific to the physical, physiological, genetic, mental, economic, cultural or social identity of that natural person.”

Data Controller

“The natural or legal person, public authority, agency or other body which, alone or jointly with others, determines the purposes and means of the processing of personal data; where the purposes and means of such processing are determined by Union or Member State law, the controller or the specific criteria for its nomination may be provided for by Union or Member State law.”

Data Processor

“A natural or legal person, public authority, agency or other body which processes personal data on behalf of the controller. Processing means any operation or set of operations which is performed on personal data or on sets of personal data, whether or not by automated means, such as collection, recording, organisation, structuring, storage, adaptation or alteration, retrieval, consultation, use, disclosure by transmission, dissemination or otherwise making available, alignment or combination, restriction, erasure or destruction.”

Who?

There are two ways to guarantee the protection of Personal Information collected through our Service. On the one hand there is the data that our customers collect from respondents via questionnaires created with our Service: data collected from respondents. On the other hand there is the data that we collect from our customers: data collected for customer management.

Personal information collected from respondents

The personal information that you, as a customer, collect from respondents by conducting online questionnaires using our Service. This information will never be used in any way by Maplix, and lies under the full responsibility of yourself – the customer (or the customer’s organisation) – who conducted the questionnaire. Please note that every questionnaire in our Service needs a privacy policy of its own. You are under legal obligation to inform every respondent of a questionnaire about your own privacy statement when collecting personal data. Every respondent should give their consent to use this personal data for your own research purposes. Please be concise and complete.

Personal information collected from customers

The personal information we collect from you, our customers. We need this information to ensure your connection to our Service. In addition, it might be possible that we contact you for additional support or to inform you about new updates and features within our Service. Your personal information will never be used for any other purpose than this.

As a Data Subject you have the right to be informed about what, why, when, how and where several aspects of your Personal Information is being collected and processed.

Note that this Privacy Policy only concerns the collection of Personal Information from customers as Data Subjects, with the sole purpose of guaranteeing successful customer management.

What?

A good customer-client relationship starts with honesty. That’s why we are keen on informing you about the data that we collect from you, whether directly or indirectly. The types of information we collect, store and/or use is listed below.

Name and/or username

When you apply for a subscription of our Service, we collect, store and use your name and/or username.

Email address

When you apply for a subscription of our Service, we collect, store and use your email address.

Billing information

When you apply for a subscription of our Service and are required to make a payment, we collect and use your billing information. This billing information contains your name, address, email address and the financial details of your chosen payment method.

Log Data

Every time you use our Service, we collect and store information that your browser sends to us. This is called log data and includes data such as your computer’s Internet Protocol (IP) address, the id of the device you use, your browser version, the pages of our Service that you visit, the time and date of your visit, the time spent on those pages, and other user statistics.

Cookies

Every time you use our Service, we collect and store cookies. These are files with small amount of data that is commonly used as an anonymous unique identifier. These are sent to your browser from the website that you visit and are stored on your computer’s hard drive. We only store necessary cookies, mostly to enable authentication in our application to use our Service. You have the option to either accept or refuse these cookies, and know when a cookie is being sent to your computer. If you choose to refuse our cookies, you will not be able to use our service.

Why?

The collection of Personal Information from our customers happens for three specific and grounded reasons. Your personal data will never be shared or used for any other purposes than listed below.

To connect

We need your name/username, email address and acceptance of our cookies to enable your identification by the system and connect you with our application to use our Service. At the same time, we make sure no one else has access to your profile settings or the activities you carry out within our Service.

To communicate

We need your name/username and email address to facilitate one-on-one communication. This may happen for different reasons: administration and payment, updates about our Service or Provicy Policy, or additional support.

To improve

We need your log data and acceptance of cookies to evaluate and improve our Service where needed. This is a continuous process.

How?

To provide you with the best possible Service, we employ several third-party companies. We want to inform you that these third parties could have access to some of your Personal Information, but only if your Personal Information is needed to authenticate with their Service. This is allowed so they can perform the tasks assigned to them on our behalf. However, they are obligated not to disclose or use this information for any other purpose. When?

We only keep your personal information for as long as it’s necessary for you to use our Service.

At any time, you can choose to terminate your account within Maplix and stop using our Service. Please contact the Maplix Data Controller using our contact form or send and e-mail to privacy@maplix.com. When you do this, all your Personal Information and all the gathered data from your online questionnaires can be permanently deleted, if requested.

User accounts that show inactivity over a period of 10 years, will also be contacted via e-mail and deleted if confirmed or if no valid response was given within 30 days.

Where?

Your Personal Information data is being stored in a secure but external cloud service using AWS. The physical servers of this cloud are located in Frankfurt, Germany.

Security

We value your trust in providing us your Personal Information. That’s why we do everything in our power to protect it. Below is a description of all the measures we are taking to accomplish this.

Hypertext Transfer Protocol Secure (HTTPS) Encryption

To ensure secure Personal Information transfers over different computer networks, we use HTTPS to encrypt and decrypt the incoming and outgoing data using Secure Sockets Layer (SSL) certificates.

Private Database Accessibility

To avoid data breaches or misuse, our database is only accessible through the Maplix API’s within our Service.

Application Programming Interfaces (API’s)

To avoid data breaches or misuse, our API’s are only accessible with the right authentication credentials. In addition, most API endpoints require authorisation through a personal API key to access the correct information.

Protection of Sensitive Data: Children

Our Service does not address anyone under the age of 13. We do not knowingly collect personal identifiable information from children under 13. If we discover that a child under 13 has provided us with Personal Information, we will immediately delete this from our servers. If you are a parent or guardian and you are aware that your child has provided us with personal information, please contact our Maplix Data Controller so we are able to take the necessary actions.

Changes to this Privacy Policy

We review and update our Privacy Policy regularly. That’s why we advise you to review this page systematically to follow up on any changes that might happen. No systematic changes will happen without consulting you first. The date of the last update of this Privacy Policy is stated at the beginning of this page. All the changes we make and publish on this page are effective immediately.
